The Role

The Operations Support Specialist will serve as the primary engine for our digital storefront’s operational integrity. This role is not merely reactive; you will be the proactive steward of our catalog, customer data, and promotional workflows. Your goal is to ensure seamless backend execution that translates into a flawless frontend customer experience, identifying system optimizations before they become bottlenecks. 
 

What You’ll Do:

  • Catalog & Product Maintenance
    • Own the end-to-end product lifecycle within Shopify, including new product uploads, description updates, and image assets.
    • Manage complex catalog structures, ensuring accurate tagging, collection assignments, and SEO-friendly metadata.
    • Perform regular "catalog audits" to identify and fix broken links, missing attributes, or outdated inventory data.
  • Customer & Company Management
    • Oversee the customer registration and approval pipeline, ensuring B2B or wholesale profiles are vetted and activated within agreed SLAs.
    • Manage location-specific settings and company profile maintenance to support multi-warehouse or regional distribution.
  • Promotional & Order Operations
    • Configure and test promotional codes, automated discounts, and product bundles to ensure accuracy before launch.
    • Monitor order flow to identify and resolve "stuck" orders, synchronization errors, or data mismatches between Shopify and integrated ERP/fulfillment systems.
    • Proactively clean up order data and archive legacy records to maintain system performance.
  • Process Optimization & Communication
    • Identify opportunities for automation within the Shopify backend (e.g., using Shopify Flow or specialized apps).
    • Serve as a trusted operational partner by communicating status updates, risks, and recommendations to the client. 
    • Create and update Standard Operating Procedures (SOPs) for all backend workflows.
    • Serve as the primary point of contact for ongoing Shopify backend operational needs and ad-hoc requests. 
Notes: 
The administrative scope of this role may expand based on your performance, ownership, and level of expertise.

 

What We Expect from You:

  • 2+ years of hands-on experience managing Shopify/Shopify Plus backend operations (Products, Customers, Discounts, and Settings). 
  • Exceptional attention to detail; experience handling large CSV imports/exports and data mapping. 
  • Ability to identify "gaps" in current processes and propose scalable solutions. 
  • Advanced (C2) English Level; written and spoken
  • Ability to multitask, prioritize in a fast-paced call center environment, and manage time effectively
  • Ability to work independently and typically only need basic direction to get started on new tasks or assignments
  • Strong interpersonal skills
  • Ability to prioritize and multitask
  • Actively leads catalog-related sessions and acts as an escalation point.
  • Great problem-solving aptitude. Expected to implement process improvements and drive innovation.
